Scope of this policy

This policy applies to the processing of personal data through our website and related communication channels.
It does not describe how data is handled within customer-owned BiitOps software installations — that is covered separately in our Data Processing Agreement (DPA) and EULA.

What personal data we collect

We only collect data necessary to respond to inquiries, deliver requested services, and improve our website.
This includes:

  • Name, company, phone number, and email address (if you contact us or request a demo)
  • Message content and communication history (email or form submissions)
  • Technical data such as anonymized IP address, browser type, and device information for analytics purposes

We do not collect sensitive personal data, and we do not sell or share personal data with third parties for marketing.

How we use your data

We process personal data to:

  • Respond to contact and demo requests
  • Manage customer or partner communication
  • Deliver newsletters or updates (only with consent)
  • Improve website experience and service quality
  • Comply with legal obligations (e.g., accounting or bookkeeping)

The legal basis for processing is GDPR Article 6(1)(a) (consent), (b) (contract), (c) (legal obligation), or (f) (legitimate interest).

Storage and retention

Personal data from contact forms and emails is stored in our secure systems and email platform for as long as necessary to fulfil the purpose for which it was collected — typically up to 5 years.
Data related to accounting or contractual obligations is retained as required by law.
All data is stored in secure, password-protected systems with limited access.

Data security

We apply appropriate technical and organizational measures to protect personal data against unauthorized access, misuse, or loss.
This includes:

  • Access control and authentication
  • Encrypted transmission (HTTPS/TLS)
  • Secure and backed-up storage environments
  • Limited access only for authorized personnel

In the event of a personal data breach, BiitOps will report the incident to Datatilsynet within 72 hours in accordance with GDPR Article 33.

Cookies and analytics

Our website uses cookies to ensure functionality and improve performance.
We use limited analytical and marketing tools such as Google Analytics, Google Ads, Hotjar, and similar services to understand visitor behavior and optimize communication.
All cookies requiring consent are managed via our cookie banner, where you can review or withdraw consent at any time.

Sharing and third-party processors

We only share personal data with trusted service providers that process data on our behalf and comply with GDPR.
These include:

  • Hosting and infrastructure: Simply.com, Microsoft Azure, or equivalent
  • Analytics and marketing: Google Analytics, Google Ads, Hotjar
  • File storage and collaboration: Dropbox
  • Email and productivity: Microsoft 365
  • Accounting and CRM systems: E-conomic

Each processor is bound by a Data Processing Agreement and may not use data for its own purposes.

International transfers

If personal data is transferred outside the EU/EEA (for example, to the U.S. through Google or Microsoft), such transfers are protected by Standard Contractual Clauses (SCCs) or participation in the EU–U.S. Data Privacy Framework, ensuring equivalent levels of data protection.
10. Your rights

You have the right to:

  • Request access to your personal data
  • Request correction or deletion
  • Restrict or object to processing
  • Withdraw consent at any time
  • File a complaint with Datatilsynet (the Danish Data Protection Agency) via www.datatilsynet.dk

We will respond without undue delay.
